Privacy Policy

This policy explains what information Orkid Photography ("we", "us") collects through www.orkid.pictures, why we collect it, and the choices you have. It does not cover the photographs and albums produced as part of a booked session — those are governed by the agreement and print release you receive when you book.
Information you give us
When you use the enquiry form on the Contact page, you may share your name, email address, phone number, session type, date or due date, number of people, and any message you write. This is sent directly to our inbox by email. We do not store form submissions in a database — if the email fails to send, your browser offers to send the same details as an email instead, and nothing else happens to that data on our end.
If you email or text us directly, or book a session through our Cal.com scheduling page, we receive whatever information you choose to share there, handled under Cal.com's own privacy policy for the booking step itself.
Information collected automatically
We use a small number of third-party services that collect standard technical data — such as your approximate location, device and browser type, and the pages you visit — through cookies or similar technology:
- Google Analytics, to understand which pages people visit and how they find the site.
- Klaviyo, to recognize returning visitors and, if you separately provide your email or phone number and opt in, to send marketing messages about sessions, pricing or availability.
Your device also remembers your light/dark display preference locally in your browser. That preference never leaves your device and we cannot see it.
Text messages and phone calls
The phone number you provide on the enquiry form, or share with us directly, is used only to reply to you about your enquiry or booking, by call or text. We do not share your phone number with any third party for purposes unrelated to responding to you. If we ever offer a separate opt-in for marketing texts or calls, that will be clearly labeled as optional, and you can stop those messages at any time by replying STOP or asking us directly — it will not affect our ability to respond to a session enquiry.
We will not share your mobile information or opt-in consent with third parties or affiliates for marketing or promotional purposes. All other categories, such as text messaging originator opt-in data and consent, will not be shared with third parties.
How we use information
- To reply to enquiries and coordinate sessions.
- To understand how visitors use the site, so we can improve it.
- To send marketing communications, only if you have opted in to receive them.
We do not sell your personal information.
Data retention
Enquiry form submissions are not stored in a database at all — they exist only as the email they generate, for as long as that email stays in our inbox. Data held by Google Analytics and Klaviyo is retained according to each provider's own default settings, which you can find in their respective privacy policies.
Security
Enquiry form submissions travel over an encrypted (HTTPS) connection and are delivered directly by our email provider — there is no database to secure because nothing is stored. We rely on our third-party providers' own security measures for the data they hold on our behalf. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
Your rights, depending on where you live
California (CCPA/CPRA): if you are a California resident, you may have the right to know what personal information we hold about you, request its deletion, and opt out of its sale or sharing. We do not sell personal information, and we believe this small, local business falls below the CCPA's applicability thresholds — but we will honor any request sent to [email protected] regardless.
European Union (GDPR): this site is built for clients in the San Francisco Bay Area and is not directed at or marketed to residents of the EU or UK. If you contact us from there anyway, we process only what you send us, for the purpose of replying to you, and you may ask us to delete it at any time.
Your choices
You can ask us to tell you what information we hold about you, correct it, or delete it, by emailing [email protected]. You can opt out of Google Analytics using a browser extension such as the Google Analytics Opt-out Add-on, and you can unsubscribe from any marketing email or text using the link or reply instructions in that message.
Children's privacy
This website is not directed at children, and the enquiry form is meant to be used by parents, guardians or other adults booking a session. Sessions themselves often include photographing children and newborns, with a parent or guardian present throughout and arranging the booking — that is the service you are hiring us for, not data collected through this website.
Changes to this policy
We may update this policy as the website or the services it uses change. The date at the top will always reflect the latest version.
